- Available in Version 2.2 under the Reports menu in the top main menu bar, the Calls Analysis Report tool will allow you to report on the various calls your lab fields throughout a given day.
- Simply choose a specific value or leave the “All” option checked in any combination of criteria including Call Type, Call Status, User, Department, and Date Range.
- The Group By option allows you to choose from 6 possible fields dictating how the records in the call report will be grouped together.
- You can even choose to have a Graph appear at the end of the report, to include the notes, completion, or case information associated with each call as well.
- With such a wealth of options available you’ll be able to get the exact analysis report you are looking for every time.
- Another enhancement in regards to Call Reports includes a new Menu that has been added under the Doctor option labeled Reports.
- This new menu includes 3 Sub-Menus that allow for printing the currently Selected Call, all Calls for this Doctor, or all Calls for a Selected Case.
Create Past Due Collection Calls
- Another way that DLCRM helps grow your business is the addition of this new feature that is designed to simplify the account collection and contact process.
- By creating Call records of type Past Due Account, your employees will have a written record of those accounts that require attention.
- The option is called Auto Create Collection Calls and is found under the Administrator menu. This option is only available to those with administrator privileges or users who are a member of the Accounting Department.
- Selecting this option will open the respective form where you can then specify the criteria by which the calls will be created. Select the past due period you wish to target as well as the minimum balance criteria and click process. The calls are then automatically generated.
- This option is generally run after statements are processed, printed, and mailed. The past due amounts associated with the accounts are taken directly from the respective DL Plus past due fields including 30 Day, 60 Day, 90 Day and Over 90 Days.
- Once the processing has completed, your accounting staff can open the Accounting Collection Calls from the View Menu. Browsing the list, you will notice the Call Type is set to the actual past due period such as “Past Due 90+” or “Past Due 60” while the Description of the Call includes the respective Past Due amount, such as “Over 90 Days Past Due ($289.41)”
- As with any other Call List found in DLCRM when you select a Call, the Doctor Information is displayed along with the main phone number. If you have the CTI module installed, DLCRM can do the dialing for you as well.
- This valuable tool will allow your staff to stay on top of problem accounts as well be proactive in collection. DLCRM helps remove the second guessing from your accounting processes.
Enhancements
Daily Pick-up System
- The Daily Pick-ups system has been improved with the addition of a “Dispatched” pickup status. A new Pickup that has just been created will now be entered with a status of “Pending” and will transition to “Dispatched” and eventually “Completed.”
- When entering a new Pick-up request, DLCRM will default to a status of “Pending”. If the operator does dispatch the driver at the same time, you would want to change the status to “Dispatched”. If not, the shipping staff should modify the status after the request is actually dispatched.
- The Pickups Route List has now been redesigned to allow for the following choices:
- One Route or All Routes.
- One Facility or All Facilities
- A Range instead of one Date
- Status option allows you to print only the Pick-ups that have been logged after the last print for the route list or include all pick-ups.
- We have also added a check box that when selected will change the Status of all Pick-ups that show up on the report from “Pending” to “Dispatched”. The assumption here is that once the driver has printed the Route List, they are now considered Dispatched.
- Under the Shipping Menu, the query filter for the Daily Pick-ups Manager now has 3 options including Pending Pickups, Dispatched Pickups, and All. The default value is set to “Pending” so you will only see what is new and has not been dispatched, but you may of course choose to see pickups of other statuses.
- In the main Doctor Form, the Pickups & Local Delivery sub page has also been enhanced to include new options in the query drop down list to allow similar filtering as explained above. After some time, the list of Pickup Requests can grow significantly and most likely you will primarily be interested in seeing what is currently Pending.
- When adding a new Pickup Request and the driver is dispatched at the same time, DLCRM has been enhanced to allow the status of the Pick-up to be set to “Dispatched” immediately.
CTI (Caller ID) Module
- Another DLCRM enhancement has been made to the behavior of the CTI Module
- In order for this feature to work your phone switch must provide the information to the TAPI compliant system.
User Preferences
- Further increasing efficiency for DLCRM users, we have added a default search value for when the ENTER key is pressed.
- Now you can type anything in the FIND field of the search toolbar and hit the Enter key and DLCRM will search the doctor records by the option specified in user preferences.
- You will know what field is currently selected as the corresponding search button is Bolded.
Miscellaneous Enhancements
- DLCRM will now remember the selected record on each grid in the application. For example, you can select a case on the 4. Cases tab then go to 3. Calls tab and select a call and so on and as you change pages, DLCRM will always remember what record you previously selected.
- In the main Doctor Record View, under the sub page Practice Info, we have added an area to enter and store the AGD Number located directly below the License # field.
- If a doctor record is marked as a Prospect, it will be displayed on the Billing sub page of the 1. Doctor tab below the Active checkbox. The text “Prospect” will also appear in the upper right hand corner of the main Doctor Record View where the Active\Inactive account status is displayed.
- The check box for Do not Send Marketing Material has been added to the 1. Doctor tab of the main Doctor Record View adjacent to the Referred By field.
DLCRM Web Services Module
MTS is proud to announce the release of DLCRM Web Version 1.7. There are number of new features and enhancements available with this version. Below are a few examples:
- Schedule Pick-ups On-Line with FedEx
- MTS has worked with FedEx online services in order to integrate Pickup Requests allow them to be sent directly to FedEx services.
- The request is received and process in real time and allows your doctors to receive a valid Shipping Label immediately via Email.
- Not only will your doctors love this feature, but laboratories can also take advantage as it is also available for your staff to schedule from within DLCRM.
- On-Line Credit Card Payments
- Another valuable enhancement that has been added to the Web Services module is the ability to process Credit Card payments from the website directly to the merchant.
- As the payment is processed in real time, an on-screen confirmation is provided and also sent via email.
