    What’s New in Version 3.0
    Automated Services System

    One of the great break-through features included in the latest release of DLCRM, Version 3.0, is the addition of the Automated Services menu option. Found in the outlook style tool bar, this collection of available services can be configured for use with Broadcast Email, Collection Call generation, Mass Printing, and Reporting Services. These business processes can be run at any time based on the applicable criteria of your choice while some can even be scheduled for complete automation. Either way it can make even your most time consuming tasks routine and can help to considerably reduce their difficulty down to a few mouse clicks.


  • Email Broadcast
    • Brand new to DLCRM is the ability to broadcast emails either to a single doctor, based on a defined query or for a specific marketing campaign. DLCRM will even let you know how many doctors will be involved in the email broadcast if a query or campaign is selected.

    • A very useful HTML editor has been added to the DLCRM toolset that will allow you to create any email and may can contain bullet points, font formatting, images, embedded links, file attachments, and also supports full mail merge of important doctor information.



    • Adding to the flexibility of this important feature is the ability to save an email to the server as a template for future use and also organize them by folders. As new doctor records are entered or new marketing campaigns are initiated, you can always go back and retrieve previously saved email templates at any time and build on them.

    • From within the main doctor view, you will find Tab 7. Correspondences which will display every instance of communication made with the doctor whether via letters or emails.
  • Automated Collection Calls Creation
    • One of the new ways that DLCRM can help grow your business is the addition of this new feature, designed to simplify the account collection and contact process.



    • By creating Call records of type Past Due Account automatically with a simple click; your employees will have a written record of those accounts that require attention.

    • You can specify the criteria by which the calls will be created including the past due period you wish to target as well as minimum balance requirements.

    • The calls will automatically be created and the past due amounts associated with the accounts are taken directly from the respective DL Plus past due fields including 30 Day, 60 Day, 90 Day and Over 90 Days.

    • Once the processing has completed, your accounting staff can open the Accounting Collection Calls form from the View Menu. Browsing the list, you will notice the Call Type is set to the actual past due period such as “Past Due 90+” or “Past Due 60” while the Description of the Call includes the respective Past Due amount, such as “Over 90 Days Past Due ($289.41)”



    • If you have also purchased the Computer Telephony Integration (CTI) module you can also take advantage of one click dialing directly from the Accounting Call Manager.

    • This valuable tool will allow your staff to stay on top of problem accounts as well as be proactive in collection. DLCRM helps remove the second guessing from your accounting processes.

  • Report Server and Delivery
    • The last icon found on the Automated Services menu is the Jobs Management option. Currently this feature is used to create, modify and manage all scheduled Reporting Jobs only.

    • This powerful reporting server will allow you to choose a Report form either DL Plus or DLCRM, specify the appropriate parameter values, create a reoccurring schedule, and even specify a combination of delivery options.



    • Currently you can choose to send the report via email as a PDF file, print to a specific shared printer, and save the output file to a network or local directory.

    • Whether you choose to have a sales report waiting for you every Monday morning or wish to check the number of units entered every hour, DLCRM reporting services make this easier than ever.
  • Automated Notification System for Doctors
    • Designed to maintain crucial lines of communication with your doctors, DLCRM V3.0 introduces a brand new Automated Notification System. Configured once for each doctor, this sophisticated system will comfort even the most difficult of customers.



    • Not only can you create the usual DL Plus Alerts for internal use at time of Case Entry, Invoicing, Case Placed on Hold, and Doctor Placed on COD, but it is now possible to notify the doctor directly via Email or text messaging (SMS) for the same types of events.

    • Simply set these notifications for the specific doctor record and you’re done. Every time any of the 4 configured events occurs, the doctor will automatically receive a text message or email describing the event. Instant Notifications will improve communication with your doctors and help your staff be proactive with customer support automatically.
  • Enhanced Pick-up & Delivery System
    • Based on continued feedback and further analysis, the Pick-up and Delivery system has been revamped to be more intuitive and efficient in order to further streamline your lab processes. Pick-ups and deliveries now have 3 different more instinctive status descriptions which include Pending, Dispatched and Completed for pickups and Pending, enRoute and Completed for deliveries. This comprehensive delivery system will allow you to schedule invoiced cases for delivery and print a report which will include all the information necessary to complete and track daily deliveries from pending to confirmation.



    • The enhanced shipping report for Local Pickups and Deliveries now offers the option to print based on Route or Facility and gives the option to show both the scheduled deliveries and pickups in one central location.

    • Another great feature available to the many labs that currently are involved in local pickups is the ability to automatically text message (SMS) the drivers out on the road when a New Pickup is added to the Pickup Manager making it easier than ever for your drivers to be more efficient in supporting your doctors.



    • Further optimizing the management of everyday shipping tasks, all Pickups and Deliveries for a given doctor can be found in one central place, under the respective tab.

    • Filters for both Pending and Processed pickups have been included as well for quick reference.
  • Computer Telephony Integration Module (CTI)
    • The CTI add-on module has been improved with new features aimed at simplifying your customer service support including incoming calls history tracking and the ability to transfer a specific doctor record when transferring the call through DLCRM.



    • A new icon has been added to the main Window Sidebar labeled Incoming Calls. If the “Log Incoming Calls” option is enabled, this feature will track all calls that have been answered using the CTI module for configured users. This screen provides easy access to critical doctor information based on the incoming number.



    • In addition to the new functions, there have been a number of preferences added designed to maximize efficiency while utilizing the computer telephony integration.

    • It is now possible to suppress the call pop notification window for all calls originating from within the laboratory.



    • Another preference that has been included that when your DLCRM application is minimized in your Windows task bar and you receive an incoming call, the CTI call pop screen will allow you to restore DLCRM for quick access.



    • Upon receiving a new Call, if the “Alert me on Incoming Calls” preference is disabled while the “Log Incoming Calls” is preference is enabled, a non-intrusive notification balloon will pop up at the bottom of the screen and will fade after a few seconds. At the same time a history of all those missed calls will be recorded in a detailed log.
  • Call Tracking and Management
    • Committed to ease of use and efficiency, V3.0 has added some enhancements to all Call Management screens including a new filter allowing users to select what type of calls they wish to view and also a new read only counter has been added that will display the number of calls currently displayed.



    • DLCRM has also introduced a very powerful and comprehensive all in one Calls Report Analysis tool.



    • Found under the Reports menu in the top main menu bar, the Calls Analysis Report tool will allow you to report on the various calls your lab fields throughout a given day.



    • Simply choose a specific value or leave the “All” option checked in any combination of criteria including Call Type, Call Status, User, Department, and Date Range.

    • The Group By option allows you to choose from 6 possible fields dictating how the records in the call report will be grouped together.

    • You can even choose to have a Graph appear at the end of the report, to include the notes, completion, or case information associated with each call as well.

    • With such a wealth of options available you’ll be able to get the exact call analysis report you are looking for every time.
  • Real Time Carrier Pickup Scheduling
    • Scheduling pickups is even more efficient as DLCRM will now connect directly to UPS and FedEx servers, schedule the pickups directly, and retrieve the shipping label with all the proper billing and sender information filled out all in real time.



    • Your staff can now either choose to print the shipping label themselves or check the option to have the label Emailed directly to the doctor.

    • This same efficiency has been included in the DLCRM Web Module. Your doctors can login to the web services module, request a pick, and again the real time connection is made and the label emailed directly with absolutely no interaction with laboratory staff whatsoever.

    • Managing your doctor pickups has never been easier or more effective than with V3.0.

      Note: Use of UPS and FedEx services require a subscription to DLCRM Web Services Module.
  • Alerts, Notifications and ePop
    • DLCRM introduces the addition of the ground-breaking Call Notification System.



    • The Add Call screen that you are used to now includes an Options tab where you can create Call Alerts using 3 different methods of delivery including E-mail, Text Messaging, or the brand new ePop Call Alert.

    • You may also specify who should be notified including the user to which the call will be assigned, the department manager of the case related to this call if applicable, and one other user of your choice.

    • Whenever a new call is created and you have specified an ePop call alert, the notified user will have the option to View the Doctor Record, Open the Call Record, or simply Ignore the alert.



    • Similar to the ePop Call Alert, DLCRM has extended the functionality to include the new ePop Doctor Alert.

    • Notify a team member of an important event related to a specific doctor record.



    • When the Alert is received, the doctor record will be automatically retrieved and opened.

    • Once the automated notifications are setup based on the events you specify within the global preferences in DLCRM, you may customize the content of each message generated.



    • This preference has been further enhanced to allow emails for each type of alert to have specific content. Instead of vague or generalized messages, this will allow your automated messages to be very direct and useful.

  • Dynamic Query System
    • With this latest release, DLCRM has introduced the ability to incorporate User Defined Parameters when building doctor queries. This means that you no longer have to create multiple queries of the same kind just to incorporate specific values.

    • For example, you can create a query that will filter doctor records based on the City that the office is located. Rather than creating multiple queries for each city, all you have to do is create 1 query and specify a parameter for City. Each time you select the query filter, DLCRM will prompt you for that value on the fly.

  • Complete DLPlus Integration
    • The last few pieces of DLPlus case information have been fully integrated providing for a complete passage of Case and Doctor related comments generated in either DLCRM or DLPlus.



    • This addition includes new preferences that will allow Calls, all corresponding Notes, and Case Comments that are attached to Cases available to be fully synchronized in real time between DLCRM and DLPlus.

  • Complete DLPlus Integration
    • Version 3.0 has introduced a facility for creating and attaching electronic files that are associated with a doctor record, including Patient Design work, Legal Documents, Certifications, etc.



    • Combined with the custom query builder, it’s never been easier to store important doctor related documents while DLCRM can make it all readily available laboratory wide.

  • Miscellaneous Enhancements and Additions
    • Sales Data

      • Sales Data page has been revamped to include sales figures for ALL available years prior.

      • The formula for calculating the Sales Data is now based on Fiscal Year Periods.

    • Doctor Record View

      • RX Number Column added to the Cases Page

      • Additional Fields have been added to the main Doctor Record View including, “Never Send Collection Letter”, “Do not send Marketing Materials”, “Source”, “Referred By”, and “Prospect.”

    • Search Options

      • This release includes the ability to search for cases by Pan Number and RX Number.

      • When finding a specific Doctor record, you can configure 1 of the available 7 search methods as the Default Search whenever the “Enter” key is pressed.

      • When searching for Cases via the Case Finder, there are a number of new queries that have been added including, All Cases due in today, Rush Cases Due Today, and Cases to be Bundled for Today.

    • Printing

      • Menu options have been added allowing users to Re-Print Invoices and Re-Print Statements through DLCRM. (Uses DLPlus Standard Invoice and Statement Forms respectively)

      • Another Menu option has been added to print Labels for selected query.

    • Usability

      • Under the Doctor menu, an option to send email to an individual doctor has been added while Emails can now also include attachments. All of which is tracked and saved in the Doctors Correspondences and made available for viewing system wide.

      • Under the Tools Menu, new options have been included enabling quick access to Sending a Text Message and Sending an ePop Alert to a specific user.

      • On the Practice Info tab of the main Doctor Record View, a section labeled “Brief Comments” has been incorporated allowing for some general notes regarding a specific Doctor record.

      • The Update Shipping Info module has been enhanced to now allow scanning for Bundled Cases. This means you can specify the same shipping information for all cases bundled in one process.

    • Sales Data

      • Sales Data page has been revamped to include sales figures for ALL available years prior.

      • The formula for calculating the Sales Data is now based on Fiscal Year Periods.
